The offer
What exactly are we buying?
A fully managed, custom-coded website for a facilities management company, built around a documented service level ledger table rather than generic service copy. It includes named pages for every service you run, weekly updates, 2 to 3 researched articles a week depending on plan, enquiries routed into your CRM, and hosting, all on one monthly fee plus a one-time build fee invoiced only after launch.
How long until my site is live?
7 days on Baseline Ledger, 10 on Operating Ledger while the AI Engine is configured and trained on your services, and 15 on Enterprise Ledger with the Content Engine set up alongside it. The clock starts at the onboarding call, not at purchase, so the sooner the onboarding form is in, the sooner you are live.
Is this different from a CAFM or work order software platform?
Yes, and it is worth being precise about it. We build and manage your public-facing website: the pages a prospective client or their procurement team reads before they call you. We are not a CAFM, work order or CMMS software vendor, and the site does not replace whatever system you use to manage maintenance schedules or dispatch internally.
Do you write the service level figures on the ledger table, or do we?
You give us the real commitments from your current contracts or service agreements, response windows, cleaning frequencies, coverage areas, and we build them into the ledger table exactly as given. We never invent a figure to fill a row. Anything that is illustrative rather than a firm commitment is labeled as illustrative on the page.
Getting started
What happens straight after I buy?
You fill in the onboarding form and submit it. It asks for your service lines, coverage areas, current service level commitments, your brand, your domain and where enquiries should land, and it takes about 15 minutes. If something is missing, submit anyway: you can send the rest by email or raise it as a ticket in your client portal, and it will not hold up the build. We then run one onboarding call to fill any gaps and agree the launch date.
What is the client portal?
It is your account with us, and you get it the day your site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files you still owe us, and message our team directly. Everything to do with your site runs through it, so nothing gets lost in an inbox. You never log in to the website itself; we handle that side.
Do we need finished copy about our services before we start?
No. If you have a scope of work, a service spec sheet or contract language you already use, send it and we adapt it. If you do not, the onboarding call works through what your crews actually do, service by service, so we can write pages that describe your real capabilities rather than a generic template with your name on it.
Can we launch with fewer service or location pages and add more later?
Yes. Most facilities companies launch with their core service lines and primary coverage areas, then add pages for additional locations or services as revisions once the site is live. There is no need to have every page mapped out before the build starts.
Revisions and the client portal
What counts as a revision, and what happens after five?
A revision is any change request you send, and there is no limit on how much goes into one. A new location page, an updated service level figure, a different coverage area, a new certification: each is one revision. So is something much larger. "Build two new service pages, here is the scope for both" is one revision, not two. 5 are included every month. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size.
How do I actually request a change?
Raise it in your client portal. You describe the change, attach anything we need such as an updated spec sheet, and it lands with the team as a tracked request so you can see where it is. You can also email us or reply to any thread with our team, and we log it for you. Unused revisions do not roll over to the next month.
Can a revision include updating the service level ledger table itself?
Yes, and it is one of the most common revision requests we get. When a response commitment changes, a service is added, or a coverage area expands, updating the ledger table is treated as a standard revision, completed within 2 to 5 working days like any other request.
Articles
What do the researched articles actually cover?
Topics facilities buyers and operators actually search for: comparing service models, understanding maintenance contract structures, what to check before signing an IFM agreement, seasonal planning, and similar operational subjects. Every article runs 2,500 to 3,200 words and cites real sources for any statistic used. We never publish an invented figure to make an article sound more authoritative.
How many articles do we get, and does it change by plan?
2 researched articles a week on Baseline Ledger and Operating Ledger, rising to 3 a week on Enterprise Ledger as part of the Content Engine. Over a year that becomes a substantial library of pages targeting the searches your buyers actually run.
Can we suggest topics or ask you to avoid certain subjects?
Yes. Topic suggestions are welcome through your client portal at any time, and we will steer away from any subject you flag, such as a competitor comparison you would rather not publish or a service line you no longer offer.
The AI Engine
What does the AI Engine actually do?
On Operating Ledger and Enterprise Ledger, it adds an AI receptionist, site chat, and SMS, Messenger and Instagram response, all configured to describe your services, take enquiry details, and route the request rather than give advice about a caller's specific facility. Anything requiring judgment is handed to a person at your business.
Do we review what the AI says before it goes live?
Yes. You review the scripts and the information the AI is trained on before launch, so it describes your actual services and coverage areas rather than a generic script. Text messaging requires carrier registration, called A2P 10DLC, which we file on your behalf; carrier fees are passed through at what our providers charge.
Can the AI Engine be turned off later if we decide it is not for us?
You can move to a plan without the AI Engine at your next billing cycle by requesting the change through your client portal. Downgrades take effect from the following invoice; the current billing period is not refunded, in line with our all-sales-final policy.
Hosting and management
Is hosting an extra cost?
No. Hosting is included in the monthly fee and never billed separately. Your site runs on Cloudflare's global network with SSL, CDN, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line item in month four.
What PageSpeed do you guarantee, and what happens if a page falls short?
90+ on Google PageSpeed, mobile and desktop, for pages we build and host. If a page falls below that because of our work, we fix it at no charge. The guarantee does not cover changes made outside our management or content published against our advice.
Domains
Do I have to pay for a domain?
No. One domain is included free for as long as your plan is active, registered in your name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for people who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.
Moving from your current site
We already have a site with pages ranking. Will moving lose that?
We map your existing URLs before launch and put 301 redirects in place for anything that changes, so ranking pages keep their signal instead of starting from zero. If your current site has a service or location page that already ranks, tell us during onboarding and we account for it directly in the new site's structure.
Can you pull our current content across instead of starting from nothing?
Yes. Send us your current site's content, or give us access to review it, and we use what is accurate as the starting point for the new pages, rewritten into the ledger-style structure. We do not simply republish old copy unchanged, since most existing FM sites lack the documented service level detail this build is centered on.
Billing and cancellation
What do I actually pay, and when?
You pay the monthly fee for the tier you choose up front: $137, $297 plus AI usage, or $747 a month. The $797 one-time build fee is invoiced only after your site is live and you are satisfied with it. Domain and hosting are inside the monthly figure.
How do I cancel, and how much notice do you need?
Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.
Do you offer refunds?
No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved your site, which is exactly why it is not refundable afterwards.
